How to set up and manage clients and client groups

Clients can be accessed via the Active Platform by clicking on the Clients button on the homepage.

In this area you can have Client Groups and Individual Clients (entities or individuals).

The Fractals (icons) are associated with the Client Group and are a visual representation of that client group - each one is different. The folder icons indicate an individual client.

In Active Platform, a Client can be standalone or belong to a client group.


For practices using the Active Platform, it is recommended that clients are managed by your practice management or CRM system and a connection created to sync clients to the Active Platform. Reach out to your Business Fitness contact to organise this connection.

For trial users of the Active Platform, clients will have to be added manually using the below steps:

Creating a Client Group

When creating a Client that belongs to a Client Group, you will need to start with creating the Client Group in Active. To do this, you will need to click on the + New Client button and select Client Group. 

This will trigger a pop-up page in which you can enter the following information for the client group: 

  • Code - optional
  • Name
  • Office
  • Team
  • Partner
  • Manager - optional

You can restrict access to the client which then only allows users that belong to the same office as the client to have access.   

A Client Group can also be made Inactive.

Note: To create a client group, a partner must be entered. If you do not have a partner user within your organisation, contact the Active Platform admin/owner within your firm to create a partner user. Alternatively, reach out to your Business Fitness contact for assistance.

Creating a Client 

To create a standalone client, click the + New Client button, and select Client.

This will trigger a pop-up page in which you can enter the following information for the client:

  • Client Group - leave blank if not part of a client group
  • Entity Type
  • Code - optional
  • Legal Name
  • Trading Name - optional
  • ABN - optional 
  • ACN - this field is only shown if the entity type is "Company"
  • Contact Details - includes email, telephone, mobile or fax
  • Address - optional, includes Residential, Postal, Registered Office, Principal Place of Business
  • Office 
  • Partner
  • Manager - optional

A Client can also be made Inactive.

Searching, Sorting and Filtering for Clients

In the Clients page, you can Search, Sort and Filter through the list.

Search Clients

Using the search bar at the top of the page, type in any part of a client name or code to find the client or client group you are looking for.


Using the sorting feature, you can sort through the clients list either by Client Name or Client Code - these options are available on the right-hand side of the search bar.


The client list can be filtered by Office, Team, Partner, Manager, Entity Type. From each of these filters, multiple options can be selected (Note: Only Office filter can select multiple, other filters can only select 1). Inactive clients can also be excluded from the filter result list.

Press Reset to clear all the filters.

To access the filters, click on the Filter Icon to display the filter selections.
